Meeting is one of the main requirement when you are doing a business. Either it’s internal meeting with the company’s staffs of external meeting with partner or client, you definitely want an effective yet fruitful business meeting. To avoid wasting your time with ineffective and useless meeting , here are some tips to achieve a fruitful business meeting :
1. PREPARE CLEAR OBJECTIVE
Before calling for a meeting, decide what you want to achieve with the meeting and establish doable goals for your meeting. Determine what you want to accomplish with the meeting, either you are looking for input, or a decision about business matter. The goals you set will establish the framework for an effective meeting plan. Your meeting purpose will determine the meeting focus, the meeting agenda, and the meeting participants you need to accomplish the purpose.
2. CONSIDER WHO ARE INVITED
Smaller meeting usually brings more effective outcome. When you’re calling a meeting, take time to think about who really needs to be there. If a meeting is the appropriate means to accomplish your goals, check with the participants who must attend the meeting to succeed. The needed attendees must be available to attend the meeting. Postpone the meeting rather than holding a meeting without critical staff members. When people feel that what’s being discussed isn’t relevant to them, or that they lack the skills or expertise to be of assistance, they’ll view their attendance at the meeting as a waste of time.
3. BE ON TIME
Always start your meeting and finish it on time to avoid any boredom and focus lost. The average person’s attention span for a speaker is 15 to 20 minutes. The average reading skim time is two to three minutes tops. Use your time wisely. Sixty minutes is generally the longest time workers can remain truly engaged.People appreciate it when you understand that their time is valuable. If you have responsibility for running regular meetings and you have a reputation for being someone who starts and ends promptly, you will be amazed how many of your colleagues will make every effort to attend your meetings.
4. PUBLISH MEETING MINUTES& FOLLOW UP
Begin by publishing your minutes and action plan within 24 hours. People will most effectively contribute to results if they get started on action items right away. They still have a fresh memory of the meeting, the discussion and the rationale for the chosen direction.
Also don’t forget to make a follow-up plan with action items. Effective plans include the following.
- The specific action item,
- the name of the person who committed to “owning” the accomplishment of the action item,
- the due date of the action item, and
- an agreement about what constitutes completion of the action item.
5. BAN TECHNOLOGY THAT ARE NOT REQUIRED IN THE MEETING
Most of the times, meeting participants that are not directly involved in the meeting will start moving their focus elsewhere. They won’t be focusing on the meeting or contributing to it. Instead, they’ll be emailing, surfing the web, or just playing around with their technology. It will be helpful if you can advise the attendees beforehand to store their gadget before the meeting.
